POSITION SUMMARY:

Provide administrative support to assigned division leaders.  Examples include Chief of Human Resources, Chief of Operations, Chief of Finance and Chief Academic Officer.  This position may also be assigned to Executive Directors.  This position assists the leader by answering calls, creating reports and other general types of written correspondence, assisting in the planning of conferences and meetings, may serve as the attendance designee for the department served, and serves as a liaison between the leader and internal and external stakeholders.  Must be able to deal with the public and employees in a pleasant, efficient, and courteous manner. This position reports to the Executive Director of Federal Programs.

 

KEY RESPONSIBILITIES:

Performs a wide range of office assistant/receptionist duties which include but are not limited to:  answering phones and taking messages; organize and maintain files and records; call school and/or district departments to collect information and assimilate the information as needed; enter bulletin board messages.

 

Compose and or type letters, memorandums, reports and other items as needed; create spreadsheets and data bases; organize and maintain files and records.

 

Attend meetings and record minutes as required.  Word process meeting minutes and distribute as needed.

 

Enter and maintain records for payroll (time and attendance).  Responsible for inputing attendance data for department employees.  This date may include sick leave, personal leave, vacation leave, professional leave and tardiness. 

 

Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.  Performs other duties as assigned.

 

KEY JOB REQUIREMENTS:

High School diploma or GED required.

 

Job related experience is required.  The ability to operate various types of office equipment is required.  Examples include, but are not limited to, desktop and/or laptop computers, projectors, fax machines, copy machines and printers.  Proficiency in the use of Microsoft Office Suite, particularly Word and Outlook is critical.  Expertise with Excel, PowerPoint and other aspects of the suite is preferred.

 

Makes decisions and recommendations that affect the activities of others.

 

Associate's degree in office management preferred.

 

Mid level of judgment required: supervisor is available on as needed basis; individual required to work within established department and organizational objectives; independent judgment is required to review and approve major recommendations.  Ability to work collaboratively is required.

 

Requires regular, frequent contact with internal and external personnel of influence and decision-making responsibility to discuss issues of moderate importance; requires continuing contact with officials at high levels.  Good interpersonal skills are required for working with inter-organizational teams.

 

Great communication and interpersonal skills required.

 

Microsoft Office Suite, particularly Word and Outlook.  Powerpoint and Excel may also be used.  Other requirements are minimal. 

 

Requires travel to off-site locations and school sites.

 

Moderate duty - On most occasions walking or standing; intermittently sitting, standing, or stooping.

 

Moderate lifting or carrying; fifity (50) lbs. or less.

 

NOTE: This is a grade 22, 225 day position that pays for experience up to a Step 4.
