POSITION SUMMARY:
Provides administrative support to the Department of Exceptional Students. Assists supervisors and administrators by coordinating administrative services (answering switchboards, greeting visitors, monthly reports, processing orders and check requests, planning conferences, evaluating records). Acts as a liaison with internal and external contacts within the District. This position reports to the Director of the Department of Exceptional Students.
KEY RESPONSIBILITIES:
Performs a full range of office assistant/receptionist duties; answers switchboard/greets visitors, makes appointments, processes necessary paperwork, prepares minutes as needed; set up and maintain filing systems; set up work procedures.
Prepares and manages correspondence, reports and documents; drafts memos/letters and email in response to routine questions; take, type and distributes minutes of meetings.
Compiles various reports as needed; maintains databases and monthly reports, processes time and attendance, payroll, purchase orders check requests, maintains work order management as applicable, etc.
Responsible for various administrative assignments for the department (worker’s comp claims, medical leave, ID Badges, etc., arrange and confirm appointments, handles incoming mail and other materials).
All other duties, as assigned and required, in order to perform the above services.
KEY JOB REQUIREMENTS:
High School diploma or GED required. Associate’s degree preferred.
Minimum of two (2) years experience working in an office setting performing administrative duties.
Makes administrative decisions which affect internal operations of the department as well as the operations of the schools and the District.
Light independent judgment is necessary. Decisions made on an as-needed basis to establish operation of the office.
Requires regular contact with internal and external personnel within the department. Verbal, written, and interpersonal skills required.
Applies, recommends, and implements technology knowledge (spreadsheets, word processing, and database management) concepts to improve the effectiveness of the Department.
NORMAL OFFICE SETTING:
Light duty - On most occasions sitting at a desk or table; intermittently sitting, standing, or stooping. Light lifting or carrying 20 lbs. or less.
NOTE: This is a grade 21, 225-day position that pays for experience up to a Step 4.
